Retire the painted boards scattered across the gym, the pool and the weight room. Keep every program’s school records in one place, organized by sport, with a profile behind every name.

## What is a digital record board?

A digital record board is a screen that lists a school’s athletic records, such as the best marks, times and team results in each sport, and it usually hangs in a gym lobby or athletic hallway. HistoryShowcase lets an athletic department keep every sport’s records in its own collection, with coaches drafting changes and the athletic director deciding what gets published.

- Made for: athletic directors and activities directors
- Where schools put it: Main gym lobby, Athletic office hallway, Athletics website
- Layouts: Honors ledger, Timeline, Portrait gallery
- Visitors can filter by: Sport, Year
- Cost: Free to use. No payment details required.

## Every program keeps its records somewhere different

In most athletic departments, records live wherever each coach left them. Football has a painted wall in the locker room. Volleyball has a laminated sheet by the office. Softball’s marks are in a binder that went home with a retired coach. Visitors walking through the gym lobby see a few sports and none of the rest, and nobody is quite sure which list is current.

A digital record board gives the athletic office one place to keep them all. Each sport gets its own collection, kept up by the coach who knows it best, while the athletic director decides what gets published. When a record falls in any season, the change goes up that week, and smaller programs get the same space on the screen as the big ones.

## How does a digital record board compare with separate painted boards?

| What matters | Separate painted boards | HistoryShowcase |
| --- | --- | --- |
| Where records live | A different wall or binder per sport | One touchscreen, a collection for each sport |
| Who keeps them current | Whoever has the paint or the binder | Coaches as editors, a publisher approves changes |
| Smaller programs | Often no board at all | The same layout and space as football |
| Finding one record | Walk to the right wall and read | Filter by sport or search by name |
| Broken records | Painted over or crossed out | Moved to a record history timeline |

## What a schoolwide record board can hold

- **Records for every sport.** Give each program its own collection, from football and basketball to golf, tennis, bowling and lacrosse.
- **Team and individual marks.** List individual records alongside team records such as most wins in a season or the longest winning streak.
- **The athlete behind each number.** Every mark opens to a profile with the athlete’s class year, a short biography and photos from their playing days.
- **Records that were broken.** Keep earlier record holders in a history collection, so a broken record still has a place on the board.
- **Girls and boys, side by side.** Show both programs with equal space, using sub-collections or a filter so visitors can choose.
- **Coaching milestones.** Add career wins and championship seasons for longtime coaches next to the athletes they coached.

## A structure that fits the whole department

Make one folder per season so the board follows your school calendar. The Honors ledger keeps marks easy to read from a few steps back.

- **Fall sports** (Honors ledger): A sub-collection for each fall program, each listing the record, athlete, mark and year.
- **Winter sports** (Honors ledger): Basketball, wrestling, swimming and any other indoor season records.
- **Spring sports** (Honors ledger): Track, baseball, softball, tennis and golf, each in its own folder.
- **Record history** (Timeline): Broken records in the order they fell, so visitors can follow a mark across decades.
- **Record holders** (Portrait gallery): Portraits of current record holders, each opening a full profile.

Visitors can filter by: Sport, Year.

## How do you set up a digital record board?

1. **Gather each coach’s list.** Ask every head coach for their current records in a spreadsheet, one row per record, with the athlete, mark and year.
2. **Import and invite.** Import the spreadsheets, then add coaches by email as editors so each one can keep their own sport current.
3. **Review as a department.** Preview the full board on the touchscreen, check each sport with its coach, and publish when the athletic office signs off.

## Where should a digital record board go?

- **Main gym lobby.** The busiest spot on game nights, for families from every sport.
- **Athletic office hallway.** Coaches, athletes and visiting teams walk past it all season.
- **Athletics website.** Link the board’s web address from the athletics page so alumni can look up their old marks.

## Digital record board questions

### Can each coach update their own sport?

Yes. Add coaches by email as editors. Their changes save to a private draft, and nothing goes live until someone with publishing access, such as the athletic director, publishes it.

### What happens to a record when it’s broken?

Update the current record with the new athlete and mark, and move the old entry into a record history collection. The athlete who held it first stays on the board, with their profile intact.

### We have records for twenty sports. Is that too many?

No. Collections and sub-collections can be organized any way you like, so each sport gets its own folder. Visitors can filter by sport or search by name to find a record quickly.

### Do we have to build it from scratch?

No. Add the Record Boards example pack to see a finished layout first. Then import your own spreadsheets or let Smart Add read an existing record list and suggest entries for you to review.
