Replace the printed list taped by the office with a touchscreen honor roll. Post each term by grade and honor level, then move last term’s list to the archive when the next one goes up.

## What is a digital honor roll?

A digital honor roll is an on-screen list of students who met a school’s grade requirements for a term, usually grouped by grade and honor level and shown in a front office, hallway or cafeteria. HistoryShowcase lets a school import each term’s list from a spreadsheet, check it in a private draft, publish it, and keep earlier terms in folders by school year.

- Made for: principals, counselors and front office staff
- Where schools put it: Front office, Cafeteria entrance, School newsletter
- Layouts: Honors ledger
- Visitors can filter by: Grade, Honor level, Year
- Cost: Free to use. No payment details required.

## The honor roll changes every term

An honor roll is not a one-time project. Every quarter or semester there is a new list, and at many schools it ends up as a printout on a bulletin board that curls at the corners by the second week. Students crowd around it once, then it disappears under the next flyer, and last term’s names are gone.

A digital honor roll is built for repetition. Each term becomes its own folder, sorted by grade and honor level, and posting the next one means importing a spreadsheet rather than retyping a hundred names. The school decides exactly what to show for each student, works on the list in a private draft, and publishes only when the counselors have checked it.

## How does a digital honor roll compare with a printed list on a bulletin board?

| What matters | Printed bulletin board list | HistoryShowcase |
| --- | --- | --- |
| Posting a new term | Print, trim and pin up the pages | Import the term’s spreadsheet and publish |
| Last term’s list | Taken down when the new one goes up | Kept in a past-terms folder by year |
| Correcting a name | Reprint the page | Edit the entry and publish again |
| Finding your own name | Scan the whole board | Search by name or filter by grade |
| Reading it from home | Only in the building | Linked from the newsletter by web address |

## What to include on a digital honor roll

- **The current term’s list.** Every student on this term’s honor roll, grouped by grade so a sixth grader can find their name in seconds.
- **Honor levels.** High honors, honors, principal’s list or whatever levels your school uses, shown in each student’s subtitle.
- **Past terms.** Earlier lists kept in their own folders by school year, so students can look back at every term they made it.
- **Yearlong honors.** Students who made the honor roll every term of the year, recognized in a short collection of their own.
- **What the levels mean.** A short entry explaining the requirements for each level, written once for students and families.

## How to set up an honor roll that repeats

Make one folder per school year with a sub-collection for each term. The Honors ledger keeps long lists tidy.

Site: Honor Roll

- **This term** (Honors ledger): One row per student with the grade and honor level as the subtitle.
- **Yearlong honor roll** (Honors ledger): Students on the list every term, added at the end of the year.
- **Past terms** (Honors ledger): Folders by school year, each holding that year’s term lists.

Visitors can filter by: Grade, Honor level, Year.

## How do you set up a digital honor roll?

1. **Export the list from your grade reports.** Save it as a spreadsheet with one row per student and columns for grade and honor level.
2. **Import it into a new term folder.** Each row becomes a student entry. Check the draft for spelling and anyone who asked not to be listed.
3. **Publish, then archive.** Publish the new term when it’s ready. When the next list goes up, archive or move the old one.

## Where should a digital honor roll go?

- **Front office.** Families signing in see the list while they wait.
- **Cafeteria entrance.** Students find their names on the way to lunch.
- **School newsletter.** Link to the published honor roll instead of pasting a long list into the email.

## Digital honor roll questions

### Do we have to show every student’s full name?

No. Your school decides what to publish about students, whether that’s full names, first names and last initials, or names with grade only. Work in a private draft, and nothing appears on the screen until someone with publishing access publishes it.

### How long does it take to post a new term?

Mostly the time it takes to export a spreadsheet. Import one row per student, check the draft, and publish.

### Can we take a name off after publishing?

Yes. Edit or archive that student’s entry, then publish again. Archived stories stay hidden from visitors on the touchscreen and the web address.

### Can families see it from home?

The published site has its own web address, so you can link to it from your newsletter or school website if you choose to.
